This Privacy Policy explains how Proximity collects, uses, shares, and protects personal data when you use the Proximity platform (the "Service"). It is written to comply with the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018.

Proximity is the data controller for personal data processed about you as a user of the Service. Where you upload contact information about third parties into the Service, you are the data controller and Proximity acts as a data processor on your behalf.

2. What Data We Collect

  • Account information: name, email address, password (hashed), organisation, role.
  • Contact data you input: names, contact details, notes, and interaction history of people in your professional network.
  • Usage data: log data, device information, IP address, pages viewed, features used, performance metrics.
  • Payment information: processed by our third-party payment provider; we do not store full card details.

3. How We Use Your Data

  • To provide, operate, and improve the Service.
  • To authenticate users and secure accounts.
  • To process payments and manage subscriptions.
  • To send service-related communications and respond to support requests.
  • To monitor product usage and improve performance and reliability.

We retain personal data only for as long as necessary to provide the Service and meet our legal obligations. Account and contact data is retained for the lifetime of your subscription and deleted within 90 days of account closure unless we are required by law to retain it longer. Backups containing personal data are rotated within 30 days.

7. Third Party Services

We use trusted third-party providers to deliver the Service. These currently include:

  • Stripe — payment processing and subscription management.
  • Microsoft — authentication and cloud productivity services.
  • Supabase — cloud hosting, database, and authentication infrastructure.
  • ElevenLabs — text-to-speech and voice generation.

Each provider is bound by a Data Processing Agreement and processes data only on our instructions.

We use strictly necessary cookies to operate the Service (for example to keep you signed in) and may use analytics cookies, subject to your consent, to understand how the Service is used. You can manage cookie preferences through your browser settings.

9. Data Transfers

Personal data is primarily processed within the European Economic Area (EEA). Where data is transferred outside the EEA — for example to service providers in the United States — we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses and additional technical and organisational measures.
